The Check In Kiosk

The Check In Kiosk is the easiest and default method of checking volunteers in and out of an event.

To Check in, Click the colored Check In Button

You'll notice this volunteer has never been checked in as the description below their name indicates when they are expected to arrive.

Once a volunteer is check in, the Check Out button will then become active for when you are ready to check them out.

You'll notice this volunteer has been check in 1 time. Their last check in is listed and the time in parenthesis is how many hours ago has gone by since their check in. (This is also how many hours they would "Clock" if you checked them out now.

4 Filters

To activate the search filter, start typing in the Search Box and choose a volunteer. The Kiosk will then only show you that volunteer.

You can then search for another volunteer or choose any of the 3 other modes.

All

This is where you will see all the volunteers registered for the event. By default they are sorted in alphabetical order by First Name. You can change it to last name in settings.

Not Checked In

This filter will show you all volunteer who have never checked in to the event.

Checked In

This filter will show you all volunteers who are actively volunteering or Checked In.

You can also Filter based on the Slots the volunteers have signed up for.

3 Modes

Click Settings to change modes.

Normal Mode - Default

When checking volunteers in and out using normal mode, the current time will be used.

First/Last Mode

In this mode, if you check in a volunteer it will use the earliest time the volunteer has signed up for.

If you check out a volunteer it will use the latest time the volunteer has signed up for.

When using First/Last Mode you can see what time will be applied by looking at the description under the volunteer's name.

Custom Mode

In this mode you will also need to specify a date time. Any check ins or outs will use this time.

Note: You are only able to select the a custom date equal to the date of the event.

You can see which mode you are on by looking at the top left corner.

Assume the time is Oct 17th, 4pm and you use the Custom Mode to set it to 6pm. Then the number of hours in parenthesis will update to 6 to reflect how many hours he will "Clock"

No Shows and Advanced Editing

Marking multiple volunteers as "No Show"

  1. Select the filter "Not Check IN"

  2. Then click "Mark All 'Not Checked-In' as No Show"

Marking 1 Volunteer as Now Show

  1. Click the volunteer's profile photo to open the Advanced Menu (Edit/No Show Tool)

  2. In the 3rd section labeled "Mark No Show?" click the "Yes" button

  3. You can also reverse this process by clicking the "Volunteer Showed Up Button" (This button is visible for a volunteers who have been marked as a No-Show

Editing a volunteer's hours

There are 2 Tools to edit a volunteers hours:

Edit Time sheet Tool

Here you can edit the individual time entries for a volunteer. Please click the save button that will appear here once you edit a time entries.

Add/Delete Time Entry Tool

To use this click "Add Check In" or "Add Check Out" buttons if applicable.

You will also see similar buttons for deleting the latest checked out or check in if applicable.

Clearing the Time Sheet

If you messed up or just need to restart. Click "Clear (Delete All)" to delete all time entries for that volunteer. Note: Click again to confirm"

The Advanced Menu cannot be opened once a volunteer has had their hours approved.

Delete a Volunteer Signup?

You can delete a volunteer's signup, either as a whole or an individual slot by following these steps:

From the Event Dashboard:

  1. Select the event

  2. Find the volunteer and click "View/Edit"

  3. Expand the section called "Entry Details"

  4. On the right of the table you will see a red "Delete" button. Not this will not show up if the volunteer's hours were approved.
